Who can add team members to a project?
Three groups can invite people to a project:
1. The project owner
Whoever created the project has full control, including inviting editors and viewers and changing project visibility.
2. Any organization admin in your org
Org admins inherit management rights over every project in the organization — they don't need to be individually shared on a project to add team members or change access.
3. Anyone with the Editor role
If a team member has been shared on the project as an Editor, they can also invite more editors or viewers. Viewers, by contrast, can read findings but cannot invite anyone.
Can we set up a corporate account with one card and many users?
Yes. This is the standard setup for firms running more than a couple of projects per month.
Centralized billing
One payment method (card, ACH, or invoice / PO) for the whole organization. No per-user expense reports.
Unlimited team members
Invite your entire firm at no per-seat cost. You pay for plan checks (per project), not for users.

Org admins see usage across every project, manage users, and set per-project budgets in one place.

How to set one up
- Email [email protected] with your firm name and the email domain you want associated with the org (for example,
yourfirm.com). - We create the organization, designate one or more org admins, and switch billing to a single payment method (card, ACH, or invoice).
- Org admins invite the rest of the team and set the default project visibility — typically Organization for firmwide rollouts.
The four roles
Permissions are role-based. Most firms only need to think about Org Admin for principals and Editor for everyone else.
Project Owner
Whoever created the project
- Edit any finding
- Invite editors and viewers
- Change project visibility
- Delete the project
- Manage org-wide billing or users (unless also Org Admin)
Organization Admin
Designated by your org's owner — typically a managing principal or operations lead
- Manage every project in the org
- Add or remove team members anywhere
- Set centralized billing and budgets
- Make any team member an admin
Editor
Anyone shared on a project as an Editor (or anyone in the org if visibility = Organization)
- Edit findings, comments, and severity
- Invite more editors or viewers
- Re-run checks and download reports
- Delete the project
- Change billing
Viewer
Anyone shared on a project as a Viewer
- Read findings and reports
- Download exports (PDF / Excel)
- Edit anything
- Invite or remove team members
- Re-run checks
Organization-wide project visibility
Every project has a visibility setting. For firms rolling InspectMind out across the team, Organization is the recommended default.
Owner + invited members only
Only the project owner and people explicitly shared on the project can see it. Useful for sensitive bids or projects that shouldn't be visible firmwide.
Default for new projects.
Everyone in the org gets Editor access
Any team member in your organization can open the project, run checks, and edit findings without being individually invited. Org admins can still see and manage every project.
Switch any project's visibility from the project settings page.
